RL Poolscapes case study: why a luxury pool builder moved to its own CRM

How the custom CRM for RL Poolscapes, a luxury pool builder in Naples, Florida, was designed: from lead to warranty, package-based proposals, change orders, job costing and billing.

RL Poolscapes builds luxury pools, outdoor kitchens and landscapes in Naples and Marco Island, Florida. Beyond their website and campaign landing page, I built their custom CRM. Here is how it was designed.

The problem with generic CRMs

Off-the-shelf CRMs are built to sell. A builder lives a much longer cycle after the sale: package-based proposals and pricing catalogs, change orders mid-project, site visits and daily logs, job costing, staged invoicing, payments and expenses, and warranties and maintenance years later. Forcing that into a generic CRM ends in side spreadsheets.

The full lifecycle in one system

  1. Sales: clients, properties, lead pipeline, proposals and contracts. Website and landing forms create leads directly.
  2. Production: projects, visit scheduling, daily logs, job costing and vendors.
  3. Accounting: invoices, payments and expenses per project.
  4. Catalog: prices, costs, packages and inventory.
  5. After-sale: warranties and maintenance.
  6. Control: users, roles and per-module permissions.

Technical choices

React frontend, NestJS + MongoDB backend with independent modules that grow in stages, per-module permissions, and self-hosted deployment with Nginx, HTTPS and managed processes alongside the website.

What the business gets

One place to sell, build, bill and service; visibility into real margin per project; no per-user licenses; and a system that grows with the business.

If your company has a process no off-the-shelf CRM understands, let’s talk.
